The customer portal

Every tab below is optional except Timeline. Turn tabs on or off, and configure what each one shows, from the admin settings covered in Customization.

Timeline

The portal’s home page — always on. Shows the customer’s deal, its current stage relabeled into plain-English milestones (configured via the Journey wizard), and their account manager (the deal’s owner in HubSpot). A customer with more than one deal — a repeat customer, or concurrent projects — gets a switcher to move between them. Quotes and line items, if enabled, also appear here.

Support (tickets)

Customers submit and track support requests, which become real HubSpot tickets. Your team replies from a card directly on the ticket record in HubSpot — no separate inbox to check — and the reply appears in the customer’s portal instantly.

Quotes

A HubSpot quote associated with the customer’s deal shows up on their Timeline once it’s published (approved, or not requiring approval) — exactly as sent, with the option to approve it or request changes right there. No admin configuration needed; this works automatically once a quote exists.

Documents

Files you request from a customer, and files you share with them, both live here. A requested file the customer uploads gets attached automatically to their HubSpot contact or deal record — no manual attaching after the fact.

Your custom object

If you’ve configured one (see Customization), customers see a read-only list of their associated records from one HubSpot custom object type — warranties, subscriptions, installs, or whatever your business tracks as a custom object. You name the tab whatever makes sense to your customers.

Account

Customers can view and edit whichever HubSpot contact properties you’ve opted in — beyond their email, which is never editable since it’s how they sign in.

Your own knowledge base articles, written for your customers about your process — not documentation about PortalShip. This tab shows itself automatically once you’ve published at least one article; there’s no separate toggle to remember.
